Lancia Consult supported The Ortus Group, a UK healthcare technology company, in selecting a fit-for-purpose Enterprise Resource Planning (ERP) solution to enable scalable growth and improved cross-functional operations.
Challenge
The Ortus Group faced challenges in managing its growth and service expansion with its current tooling. Expanding their offering and diversifying their client base emphasised the need to facilitate cross-functional operations and derive better customer insights to increase cross-sell opportunities. Working in a heavily regulated environment also drove the urgency to improve data quality, tracking capabilities, and reporting functionality. They had identified that they needed an ERP; however, with the number of solutions and vendors on the market, they required guidance to identify the most suitable option for their requirements.
Solution
The team at Lancia Consult evaluated the tooling needs across the business, built a Request for Proposal (RFP) and managed the selection process. Lancia ran workshops to gather functional requirements, meeting with individuals from across the business to better understand the cross-functional opportunities that could be leveraged through the implementation of an ERP. Over the course of 4 weeks, Lancia drafted and signed off on over 300 requirements.
The team also identified a diverse range of potential solutions and vendors to contact. They agreed on the selection criteria and drafted the final RFP to be sent to vendors, including a vendor questionnaire. They prepared an initial shortlist from the received proposals and invited them to demo sessions, where they presented key business scenarios based on the requirements to help the team differentiate between solutions.
Results
Over a four-week period, Lancia developed a comprehensive RFP and conducted a thorough evaluation of seven ERP solutions from 13 vendors. From this, six proposals were shortlisted for detailed analysis.
Lancia also performed a full pricing comparison, assessing total costs for the implementation year and the subsequent two years. Each proposed architecture was
reviewed to identify gaps and risks, and strategic recommendations were provided for system cutover and the decommissioning of legacy platforms.
Lancia’s final recommendation was based on a holistic assessment of solution fit, architectural robustness, and vendor credentials.
